    Post: Marketing and Administrative Assistant

    Hours: 20 per week

    Salary: £8,800 pro rata

    This is a diverse role requiring a range of skills and qualities to assist the Board of Management and the Centre Development Co-ordinator with administrative work. The main tasks and responsibilities of the Marketing/Administrative Assistant are:

    • Reception service - in person, over the phone or by email (answering and directing phone calls, handling enquiries and incoming requests for bookings, taking and distributing messages);
    • Booking and invoicing service (reviewing files and records to answer requests for information, checking and entering data, updating and maintaining databases);
    • Basic accounting functions (checking invoices, making deposits, managing petty cash);
    • Assisting in marketing of activities at the Centre - producing newsletters, posters, flyers;
    • Operating Centre's social media pages and publishing posts to promote the Centre;
    • Mail procedures (receiving, sorting and distributing incoming mail, preparing and sending outgoing mailings and packages);
    • General administrative support (organising and scheduling appointments, organising and co-ordinating meetings, compiling records of office activities);
    • General clerical support (faxing, photocopying, emailing, word processing, filing and collating as required).

    Ensuring the long-term sustainability of the Centre is the primary function of their organisation. This position requires a hardworking, flexible and conscientious individual, preferably with some relevant administrative and clerical experience, to support the successful operation of the Centre. You will work closely with the Centre Development Co-ordinator and the board of management. Knowledge and experience of Microsoft Office, proficient use of email and the internet and good numeracy and keyboard skills are essential. A knowledge of office management systems and procedures, administrative procedures and basic accounting procedures would be an advantage. Given the nature of the post you will be subject to a PVG application.
